Hourly and daily equipment hire on Shopify

Each rentable item is a resource with its own calendar. A customer picking a Saturday bike sees only bikes not already out, and the turnaround buffer you set means an item coming back at 5pm is not offered at 5pm.

The problems this solves

  • The same kayak rented twice for the same afternoon
  • No time to clean or check kit between hires
  • Hire periods that do not fit a fixed grid
  • Rental apps charging on revenue

How Booking Slot handles it

Per-item calendars

Ten bikes are ten resources. Availability is per item.

Turnaround buffers

Add cleaning or inspection time after every hire.

Any hire length

Two hours, half day, full day, as separate services or variants.

Deposits

Take a deposit at booking and settle damage or the balance at return.

Choose the rental preset during setup and these defaults are filled in for you.

Stock quantity is not availability

This is the mistake that makes Shopify alone unworkable for hire, and it is worth stating plainly because a lot of people try it first.

Shopify inventory counts how many of something you have to sell. Rental does not sell the item, it sells a period of time on it, and the same kayak can be sold fifty times across a summer without stock ever moving. Set hire up as ordinary products with stock quantities and you will either oversell the same afternoon or find your inventory going to zero after one busy Saturday.

What hire actually needs is a calendar per item. Ten bikes are ten resources, each holding one booking at a time. A customer picking Saturday morning sees only the bikes not already out, and the one going out at nine is simply not offered again until it is back.

You are not selling the kayak. You are selling Saturday afternoon on the kayak, and only once.

Turnaround, which is the buffer that earns its keep

Kit comes back wet, dirty, or needing a safety check, and none of that is hire time. An item returned at five o'clock cannot go out again at five o'clock.

Turnaround buffers are set per service and block the item after every hire. Thirty minutes on a kayak for rinsing and a quick inspection. Fifteen on a bike for a chain check and a wipe. None at all on something that genuinely needs no attention between hires.

The buffer blocks the item so it never appears as bookable, but the customer is not charged for it and it does not show on their confirmation. The alternative, which plenty of operators resort to, is padding every hire period by half an hour, and over a season that is a lot of hire time given away to protect the few items that needed it.

  • One calendar per item, not a stock count
  • Turnaround buffers per service, blocking the item not the customer
  • Any hire length: two hours, half day, full day
  • Customers pick a specific item or take any available

Hire periods that fit how people actually hire

A booking is an interval, so hire lengths are whatever you sell rather than slots on a grid. A two-hour paddle, a half day, a full day and a sunset session can all exist on the same item.

Set them up either as separate services, which gives each its own price, buffer and rules, or as variants of one product if the only difference is duration and price. Separate services are usually cleaner when the turnaround differs: a full day might need longer back than a two-hour hire.

The honest gap: multi-day hire is not supported yet. A booking is one interval, so a Friday-to-Monday hire cannot be sold as one booking today. Multi-day ranges are on the roadmap, and if your business is mostly weekly or weekend-long hires this is the thing to check before installing.

Before you install. If most of your hires span several days, multi-day booking being on the roadmap rather than in the product is likely a blocker. Hourly and daily hire works today; Friday to Monday as a single booking does not.

Deposits, damage and the kit that comes back broken

Hire businesses take deposits for a different reason from appointment businesses. It is not mainly about no-shows, it is about the item coming back in one piece.

Booking Slot takes a deposit as a line in your normal Shopify checkout, set per service as a fixed amount or a percentage. It lands in your usual payout, appears in your usual reports, and involves no second payment provider.

At return, settle the balance at the till by cash or card, or send a Shopify payment link. If there is damage to charge for, that is an additional Shopify order or a retained deposit under your own hire terms. Booking Slot never holds the money and never applies a policy of its own, so what you charge and what you return is governed by the terms on your own pages, not by the app.

Items out for repair are blocked with time off on that resource, so a bike with a buckled wheel stops selling until you say otherwise.

What it costs a hire business

Plan limits count resources, and every individually bookable item is one. Ten bikes is ten resources, which puts you on Pro at seventy-nine ninety-nine for unlimited. Up to eight items is Growth at thirty-nine ninety-nine, which also brings booking at the counter through Shopify POS, which hire businesses with a shopfront use constantly. Two items is Starter at fourteen ninety-nine. One item runs free.

That counting is worth understanding before you install, because a hire fleet reaches the Pro tier faster than a salon does. There is still no percentage of your hire revenue at any level, and annual billing takes twenty percent off.

If your items are genuinely interchangeable and you never need to know which specific kayak went out, you can model a smaller number of resources and rely on any available. That keeps you on a lower tier at the cost of not tracking individual kit, which suits some operations and not others.

Questions about Shopify rental booking app

Can I hire by the day rather than the hour?

Yes. Set up a full-day service with whatever hours your day actually runs, and it books as a single interval on that item. You can have several lengths on the same kit: a two-hour paddle, a half day, a full day and a sunset session, either as separate services with their own prices and turnaround times, or as variants of one product where only the duration and price differ. What is not supported yet is a multi-day range, so a Friday-to-Monday hire cannot be one booking. Multi-day is on the roadmap.

Can customers pick a specific item, or just any one?

Either, and you choose which to offer. A customer can pick a named item, which matters when your kit is not identical and someone wants the bigger kayak or the bike with the child seat. Or they leave it on any available and the app assigns the first free one, which spreads wear across the fleet rather than putting every hire on item one. Each item is its own resource with its own calendar, so availability is genuinely per item rather than a stock count that can oversell.

Can I take an item out of service for repair?

Yes, with time off on that resource, which blocks that item only while everything else carries on selling. A bike with a buckled wheel stops being offered the moment you add the block, and comes back automatically when the period ends, or you can extend it if the part takes longer than expected. The same mechanism handles seasonal storage, annual safety inspections and anything else that takes kit off the water or off the road for a period.

Does it handle collection and return times?

The booking interval is the hire period, so the start is the collection time and the end is the return. Behind the return you set a turnaround buffer, which blocks the item for cleaning, drying or a safety check without charging the customer for it or showing it on their confirmation. Put the practical detail in the confirmation and reminder templates: where to collect, what to bring, what happens if they are late back, and your deposit terms. Those templates are yours to edit, and the reminder also carries a link for the customer to move or cancel.
